Remind a pending Dropbox Sign signer
Remind the intended pending signer in Dropbox Sign and help the recipient use the newest link when earlier links expire.
Check the request in Dropbox Sign Documents before reminding anyone. If it is still pending and you know which signer needs a fresh link, send an Email reminder to that signer from the request’s menu. Dropbox documents the status location and reminder flow. This article explains how to use those controls; it does not claim a reminder was sent in a live account.
Send the reminder
- Log in to app.sign.dropbox.com.
- Open Documents from the left sidebar.
- Find the pending request for the document the recipient still needs to sign. Open more options next to that document.
- Choose Email reminder.
- Check the box next to the signer who needs the fresh link. If more than one signer needs a reminder, check each intended recipient.
- Select Email reminder to send it.
There are two Email reminder actions in this sequence. The first takes you to recipient selection; the second sends the reminder after you have checked the recipients. Pause at the checkbox step. Make sure the selected names match the people you intend to remind before you send the email.
Choose the recipients
Start with the particular pending request you mean to remind. If you are handling several requests, match the document and intended recipient before using more options. The status appears next to a request’s document title, according to Dropbox. A pending status tells you the transaction is incomplete; it does not identify, from this documentation alone, which of several signers needs your email. Use the recipient details available in the request and your own handoff record to choose the person.
For example, a request may have an internal signer and a client signer. If the internal signer already confirmed completion but the client reports that the invitation is missing, select only the client for the reminder. Do not select both people merely because the overall request still reads pending. If you do not know who is waiting, resolve that question before sending a new link.
The reminder workflow is for a request still pending signature. If the request has completed, retrieve the finished record instead of sending another prompt. If the request cannot be identified, do not guess from a familiar document title. Confirm the transaction first; the reminder is tied to that request and to the recipient boxes you select.
Use the newest link
Ask the recipient to open the newest reminder email. Dropbox says a reminder email contains a new link, and only the newest link works. An older link leads to an expired-link page. That can explain an expired-link report even when the recipient still needs to sign.
If someone says their link has expired, ask which email they opened. A newer reminder makes older links unusable. Direct the signer to the newest message, rather than the original request email or an earlier reminder. Sending several reminders in succession can leave several invalid links in the recipient’s inbox, so first establish which message they are opening.
If Email reminder is missing when you open more options, recheck the selected document and its current status. Dropbox’s instructions do not explain every reason the option might be absent. An expired-link page is consistent with an older link after a reminder, but it does not prove which email contains the newest link. Confirm the recipient’s latest reminder before advising them to try again.
