Replace a signer on a pending Dropbox Sign request
Replace the recipient on a pending Dropbox Sign request before anyone signs, and understand what happens to both signers' links.
You can replace the recipient of a sent Dropbox Sign request while it is pending, as long as no one has signed it. Open the request in Documents, choose Edit Signers, replace the intended signer, and save the new name and email address. This guide is based on Dropbox’s documentation for replacing signers, not hands-on verification.
Check the request before changing it
First, confirm that you have the replacement person’s name and email address. Then check whether anyone has signed the request. The replacement option applies only after a request has been sent and before any signer has signed. If someone has already signed, stop: you cannot use Edit Signers to replace a signer on that request.
This feature is available on Dropbox Sign Essentials, Standard, and Premium. You can edit your own pending requests. Dropbox also says admins can edit pending requests sent by team members. If the request you need is not available to you, check who sent it or whether you have the admin access needed to edit it.
Choose the correction method before opening the editor. If no one has signed and the issue is a wrong recipient, use Edit Signers and Replace. If the document or its fields are wrong, Dropbox’s separate Edit and resend guide covers broader pending-request changes. These controls are not interchangeable: replacing a signer does not change the document or its authentication method.
If anyone has already signed, the Replace control described here is unavailable. Edit and resend may still be relevant while the transaction is pending, but Dropbox says people who already signed will be asked to sign again after changes, and access codes must be entered again. Review that disruption before changing a partially signed request. Do not describe the replacement as a quiet email correction at that stage.
Replace the recipient
- Log in to Dropbox Sign and select Documents from the left sidebar.
- Find the pending signature request. Select the three-dot more-options menu beside it, then select Edit Signers.
- Find the signer whose name or email address needs to change. Open the dropdown beside that signer and select Replace.
- Enter the replacement signer’s name and email address. Check both against the recipient you intend to contact, especially if the original address was wrong or two people have similar names.
- Select Save.
If more than one recipient needs replacing, repeat the Replace step for each affected signer before selecting Save. Make sure you are changing the correct signer entry each time. The action replaces a signer on the existing pending request; it does not provide a way to edit the authentication method or signer settings.
Know what happens after you save
The previous signer receives an email saying their signature is no longer needed. They also lose access to the document through the link they were sent. The replacement signer receives an email requesting their signature. These effects matter if the first recipient has already seen the original request: replacing them removes their ability to use that request link, even though the earlier email may still be in their inbox.
Dropbox says the change appears in the document’s audit trail. Use that record to check which request was changed if you are handling several pending requests. The key decision remains the signing status: if no one has signed, use Replace for the affected recipient; if anyone has signed, this editing flow is unavailable.
