A visible filename is a poor departure check. A checklist should name the actual deliverables and supporting files, including attachments, reference documents, and any file a desktop application must open alongside the main document.

For work spread across many My Drive folders, mirroring reduces the number of individual offline selections staff must remember. OneDrive’s Download all files setting can serve a similar whole-collection need; compare disk use before enabling it. Before a migration, map each business folder to its intended location and confirm that the people doing the work have the access they need. Test the destination with ordinary staff accounts, including a file that is shared across a team. Pilot the proposed workflow with one representative staff member and one real assignment copied into a test area. Prepare the laptop, disconnect it, open and edit every required file, then reconnect. Have a second authorized staff member open the resulting files from the shared location. A passing pilot means every required file opened offline and the expected edits were visible after reconnection. Record any file that failed either check and adjust the local selection before wider rollout.
