Use a Dropbox Sign template when you have a repeatable document and will send each request to named recipients. Open the template, assign the current people to its signer roles, add any needed document, and send. A template link works differently: anyone with that link can sign, and it supports one signer role, according to Dropbox’s template comparison. For a two-person client agreement sent to specific addresses, choose a template rather than a public link. This is a documented product distinction, not a tested transaction.

Choose the reusable form

Dropbox’s template creation guide says templates store a prepared document, signer roles, and fields for repeated requests. It gives Buyer and Seller as an example of distinct roles. Reuse only makes sense when those roles and fields fit the next transaction. If the next client agreement has a different signer structure, update the template or use a more suitable one before sending. Templates require an eligible Dropbox Sign plan; the number available varies by plan.

The alternative, a template link, can be placed where anyone with the URL can access the signing flow. It is suited to a one-signer, link-distributed task. It is a poor match when a sender needs to address a specific two-signer request or control which named people receive it. This choice affects both recipient selection and the number of roles available, not just how you deliver the URL.

Open the template

Sign in at app.sign.dropbox.com. In the left sidebar, select Templates, then choose My Templates from the dropdown menu. Find the prepared request and click Use template next to it.

Before continuing, check that you chose the template for the document you intend to send. Look at the signer roles you will need to fill in. If the request needs a different document or different roles, stop and choose a template that fits. Dropbox’s sending instructions describe the remaining steps.

You can upload additional documents at the next step. If this recipient needs a document in addition to the one covered by the template, upload it here. Otherwise, click Next without adding one. Check what belongs in the current request rather than copying what you sent to a previous recipient.

Assign the signers

Add a name and email address to each signer role, then click Next. Match each person to the role shown in the template before entering their details. If two people must sign in different roles, check that their addresses are not reversed.

Read each email address against the recipient details you have for this request. A correctly formatted address can still belong to the wrong person, and you should not assume the template validates recipient data. If someone who must sign has no suitable role, pause and choose a template that fits instead of placing that person in an unrelated role.

Dropbox says Premium variable signing lets you leave unneeded signer roles blank. If that option applies to your request, leave out only roles you do not need. Otherwise, do not assume that a role can be skipped. Resolve a mismatch between the required signers and the template before you send.

Check the request before sending

Under Message to signers, add a document title and message. Use a title that identifies this request to its recipients. In the message, say what you are asking them to sign, using details that apply to this request.

Before clicking Send for signature, make one pass through the choices you just made: the template, any additional documents, the name and email address assigned to each role, and the title and message. This check matters when you use the same template repeatedly, because the prepared fields may stay useful while the people and accompanying documents change. For a Buyer/Seller template, read the current transaction’s parties against the two role assignments. Do not reuse an old address just because it belonged to the previous request.

If you spot a wrong address, a person assigned to the wrong role, or a document that should be included, correct it before sending. Once the details match the current request, click Send for signature.
