Send a document for signature in Dropbox Sign

Prepare a Dropbox Sign request with the right file, signer, assigned fields, CC recipients, and message before sending it.

To send a prepared business document, open app.sign.dropbox.com, upload the correct file, name each signer, assign their fields, preview the signer view, and then send. The critical decision is who must complete each field. Dropbox’s sending guide and editor guide document those controls; this guide does not claim a live request was tested.

Upload the document and identify the signer

Sign in at app.sign.dropbox.com and select Sign documents. Choose the prepared file from your computer with Upload file, or drag it into the upload area. The web flow also lets you add more than one file to the request.

Enter the name and email address of each person who needs to sign, then select Next. Compare each entry with your prepared recipient list or the document itself. This check is especially useful when two people have similar names or an address was copied from an earlier request. The web flow supports multiple signers, but signer limits vary by plan. If you cannot add everyone you need, check the limit that applies to your account before continuing.

Place and assign the fields

In the document editor, drag the fields you need from the left sidebar onto the relevant places in the document. For every signature or other requested entry, click the field and check the Assigned to menu in the right sidebar. Set it to the person who should complete that field. Repeat this check for every signer, especially where the same document asks different people to sign in different places. Dropbox’s editor also lets you move, resize, or delete a misplaced field.

For example, a service document might need a client signature on one page and an internal approver signature on another. Assigning both fields to the first signer would send the wrong task to that person. Match each field to the role in your own recipient list before proceeding. This is a document review check, not a claim that Dropbox identifies the correct role for you.

Fields are required by default. If an entry is genuinely optional, click that field and turn Required off in the right sidebar. Leave Required on for anything the signer must provide. Check each field’s position, assigned signer, and required setting before selecting Next.

Review the request and send

On the final screen, review the cc addresses for anyone who should receive a copy. Check the subject and message under Email to signers so the recipient can recognize the request and the document it concerns. If those text fields cannot be edited, Dropbox says a team admin’s HIPAA compliance setting may be the reason. In that case, review the text that will be sent rather than assuming your changes were saved.

Dropbox documents an expiration option for eligible paid-plan requests. If that option appears and you use it, check the date and time before sending. Once the request expires, the signer can no longer open or sign the document, so an unintended expiration can block completion.

Use the editor’s Preview control to see what a signer will see. Compare that view with the document and signer list you prepared: the expected pages should be present, each field should sit where its answer belongs, and its assigned person should be correct. If the wrong file was uploaded, Dropbox’s editor can replace an entire document file, but it does not replace a single page. Fix a page in your source document first, then replace the file.

After resolving each applicable row, confirm the recipient addresses and message, then send. Keep the recipient list used for the check so a later status or correction question refers to the same transaction.
